Family reunion of 22 people in Ardèche: prepare the distribution

Photo coming soon

To prepare for a family reunion of 22 people, start with the nights: who shares a bed, who prefers to sleep alone and which relatives want to stay in the same accommodation? At Mas d'Eylieux, in Saint-Montan in South Ardèche, the six independent gîtes total exactly 25 beds. A distribution for 22 is therefore prepared starting from beds, then meals and moments when the whole family gets together.

Here is a worksheet to adapt to your family. The figures below are examples of preparation, not an account of a family reunion already hosted. The family reunion page presents the location and conditions; this guide helps you formulate the choices to confirm with Pascale.

To continue preparing for your family reunion

Note needs before allocating accommodation

Ask for a response per household with dates of attendance, adults and children, people agreeing to share a double bed and the desired separate beds. Add the needs related to stairs or movement between dwellings. There are beds in the living rooms or on the mezzanine: their location is as important as their number.

To be collected for each household What this allows you to prepare
People present and nights chosen The actual number of people accommodated each evening
Couples and people sleeping alone Allocation of double and single beds
Acceptance of a living room or mezzanine bed A distribution known and accepted before arrival
Mobility or proximity needs Access questions to check with Pascale
Meal participants, even without staying overnight A number of guests distinct from the beds

Each cottage has its own kitchen, toilet and shower. This allows you to keep different rhythms; this does not automatically guarantee one unit per household, regardless of its size.

An example distribution for nearby 22

The following table uses all six accommodations without filling all the beds. It is used to discuss beds with participants; it does not constitute availability or a reservation.

Gite Exact beds People in this example Check to be done
La Châteaunette 7 5 Two double beds; three singles, including two in the living room and one on the mezzanine
Côté Source 6 5 Two double beds and a two-seater BZ in the living room
Les Citronniers 3 3 A double bed and a single in the living room
Les Figuiers 4 4 One double bed and two singles in the living room
The Hazelnut Trees 3 3 Two articulated single beds and a single bench seat in the living room
La Maisonnette 2 2 A double bed of 140 cm
Total 25 22 Assign people to each bed, then have them confirmed

The three unoccupied spaces in this example do not add any beds to the domain. If several relatives each want a separate bed, the allocation must be redone: five people are not distributed in the same way in all the accommodations. Find the dimensions and locations in the bed table.

A family of four cannot be assigned to a three-bed gîte. If the size of a household exceeds that of the accommodation envisaged, discuss another distribution with the people concerned before choosing the location.

Distinguish between people accommodated and guests

For each meal, make a second list: the people who sleep there, those who join the family for the day and any service providers concerned. 22 accommodated people do not automatically give the number of all meals.

Then choose the space, furniture, preparation and service with Pascale. In case of rain, Côté Jardin allows a meal for up to 30 people, under the agreed terms. This figure concerns meals; it does not set a night capacity or a general event gauge.

The self-catering allows you to cook or book a caterer directly. Decide who orders, who brings the drinks, who sets up and who puts away. For menu choices and cost sharing, the general guide to family reunion complete this sheet.

Choose exclusivity and common times

To 22 people, study the complete privatization to reserve the six gîtes and the spaces provided for in the estimate. You can leave beds free. In partial rental, other vacationers can stay in the other gîtes; the accommodation chosen and the accessible spaces must be specified.

The outdoor swimming pool 10 × 5 meters opens from mid-May to September depending on the weather. It is shared in partial rental and exclusive in complete privatization. For a family reunion out of season, prepare shared moments around meals, a walk or the village rather than around an expected swim.

On the domain of 40 hectares, free time can alternate with some family meetings. A possible framework is to plan a common dinner on arrival, a main meal the next day and a moment before departure. Prepare for trips with arrival to 16:00 and departure to 15:00 ; the duration remains that of your rental. Visitors who do not sleep on site must leave no later than midnight. No entertainment is included in this indicative program.

Prepare the amount to share

Start from the confirmed quote for the location and nights. The grid of the entire domain is identical for twelve or twenty-five people, on identical dates and duration. The prices are VAT included, with electricity, heating and estate furniture included. Partial rental has a separate price; your dates and price season remain to be confirmed. Only add meals, activities and options that are not already included in the quotes.

Linen is optional, 15 € per person per stay, sheets and towels included. If participating 22 choose this option, the calculation is 22 × 15 € = 330 €, to be added only if it is not already included in the copied amount. A refundable deposit is provided apart from the final cost, according to the contract.

Have the sharing rule accepted before distributing the amounts: per household, per person or according to the nights occupied. Participants in an optional activity may pay the cost separately.

Submit a request that everyone can verify

Gather arrival and departure dates, nightly staffing levels, bed requirements, main meal guests, exclusivity preference and mobility constraints. Keep only one version of the distribution, then have it confirmed before sending it to the family.

You can start from request for your family reunion and attach your table. The points to be decided are accommodation, sleeping arrangements, meals, the rain solution and the conditions of the estimate. The family will then know what they have in store and what they are organizing themselves.

Practical questions

Can we prepare a family reunion of 22 people at the Mas?

The Mas's six gîtes have exactly 25 beds in total. A distribution for close 22 can be studied according to couples, separate beds, living room beds and mobility needs. Pascale confirms the configuration and the formula before booking.

Do we have to occupy all the beds to privatize the area?

No. Complete privatization reserves the six gîtes for your group without requiring you to occupy the 25 beds. The same grid for the entire estate applies for twelve or twenty-five people, on identical dates and duration. A partial rental has a separate rate. Availability and total amount are confirmed in the quote.

Where can common meals be prepared if it rains?

Côté Jardin allows a meal for up to 30 people, according to the terms confirmed with Pascale. This meal capacity does not modify 25 beds nor the capacity of a possible celebration. The furniture and installation are prepared before the stay.

Is the pool reserved for family reunions?

The outdoor swimming pool opens from mid-May to September depending on the weather. It is shared in partial rental and exclusive in complete privatization. The dates of the stay and the chosen package must therefore be confirmed.
